PRIVACY & PERSONAL INFORMATION

Privacy policy

How we handle your information when you visit our website or get in touch.

Last updated:

This policy covers Prowizards Pty Ltd’s website and initial business and careers enquiries. It explains what information we receive, why we use it and how you can exercise your privacy rights. Services delivered under a client agreement may be covered by additional privacy terms.

1. Who is responsible?

Prowizards Pty Ltd is the responsible party for the personal information described in this policy under South Africa’s Protection of Personal Information Act, 2013 (POPIA).

Address: Buh-Rien estate, Kraaifontein, Cape Town, 7570, SA
Email: reachwizards@gmail.com
Phone: +27 0640215039

For privacy questions or requests, use the email above and address your message to the Information Officer with the subject “Privacy request”.

2. Information we collect

  • Enquiries: your name, email address, optional company name, selected service, message and acknowledgement of this policy.
  • Correspondence: information you choose to share when you email or call us, and our replies.
  • Technical information: our hosting and security providers may process your IP address, browser and device information, requested pages, request times and security events to deliver and protect the website.

We receive enquiry information directly from you. Contacting us is voluntary. Fields marked with an asterisk are needed to submit the form; without sufficient contact details and a description of your request, we may be unable to respond. Your company name is optional.

Please do not send passwords, identity documents, payment details, health information or other sensitive personal information through this website. Only share another person’s information if you are authorised to do so.

3. How and why we use information

We use enquiry details to respond, understand your requirements, prepare proposals and manage related correspondence. Technical information helps deliver the site, diagnose faults and prevent misuse. We may also use relevant records to meet legal obligations or resolve disputes.

Depending on the activity, we rely on your consent, steps needed to enter into or perform a contract with you, legal obligations, or legitimate interests in responding to enquiries and keeping our services secure. Where we rely on consent, you may withdraw it by contacting us. Withdrawal does not affect earlier lawful processing.

Submitting an enquiry does not subscribe you to a newsletter or authorise unrelated marketing. We do not sell personal information or use this website to make automated decisions that have legal or similarly significant effects on you.

4. Who receives information?

Information is used by people handling your enquiry and service providers supporting website hosting, security and email. The website is configured for Cloudflare hosting and, when online enquiry delivery is enabled, Resend email delivery. Messages sent to our published Gmail address are also processed by Google as the mailbox provider.

The website does not maintain an enquiry database. Submitted enquiries are delivered by email when delivery is available. If you choose the option to open your email app, your enquiry is placed in a draft and you decide whether to send it through your own email provider.

We may disclose relevant information to professional advisers or authorities where necessary for legal obligations, legal claims or the protection of rights. Service providers must handle information within the scope of their services and applicable data-protection requirements.

5. Processing outside South Africa

Hosting and email providers operate internationally, so information may be processed outside South Africa. Privacy laws in those countries may differ. Such transfers must meet POPIA’s requirements, including an appropriate level of protection through applicable law or binding arrangements, or another permitted basis. Contact us for information about the safeguards relevant to your enquiry.

6. How long information is kept

We retain enquiry correspondence for as long as needed to handle your request and related follow-up. Where an enquiry becomes a client engagement, relevant correspondence forms part of the client record. Longer retention may be necessary for contractual obligations, statutory recordkeeping or legal claims.

When information is no longer needed and there is no lawful reason to retain it, it should be deleted or de-identified. Email, technical logs and backup copies are also subject to the relevant provider’s retention and backup arrangements. You can ask us about retention of your records or request deletion using the contact details above.

7. Keeping information secure

We aim to protect personal information through reasonable technical and organisational safeguards appropriate to its sensitivity. The contact form validates submissions and limits their size; email delivery credentials are kept on the server. No website or email service can guarantee complete security. If a security compromise affects your information, we will follow applicable notification requirements.

8. Your choices and rights

Subject to applicable law, you may ask whether we hold your information, request access, seek correction or deletion, object to processing, or withdraw consent where it is the basis for processing.

Email reachwizards@gmail.com with your request and enough context to locate the relevant correspondence. We may need to verify your identity before releasing or changing information; please do not send identity documents unless we request them through an appropriate channel. We will explain any applicable process, lawful fee or reason we cannot fulfil a request.

You may complain directly to South Africa’s Information Regulator without first contacting us. Visit the Information Regulator’s complaints page for the current procedure, or email POPIAComplaints@inforegulator.org.za.

9. Cookies and external links

This website does not add advertising trackers, analytics scripts or application cookies. Hosting security features may use essential cookies or similar technology to protect the site. You can manage cookies through your browser, although blocking essential cookies may affect access.

Links to external websites and opening your email app take you to services with their own privacy practices. We will update this policy if we introduce additional tracking and provide any choices required by applicable law.

10. Careers enquiries and children

The careers contact option is for initial enquiries and does not provide a CV upload facility. Please send only the information needed for that initial conversation. If we invite a formal application, we will explain any additional collection and use of applicant information.

This website is intended for business enquiries and is not directed at children. Please contact us if you believe a child has supplied personal information so we can address it appropriately.

11. Changes to this policy

We may update this policy as our services, practices or legal obligations change. The date above identifies the latest revision. Material changes will be communicated where required. For questions about this policy, contact reachwizards@gmail.com.
